Job Summary:
Introduction

This position performs administrative, clerical, managerial and secretarial work under the direction of the Township Manager. The work requires some judgement in the application of prescribed methods and procedures of administrative clerical functions. Work assignments vary in nature as the employee performs work related to multiple Township Departments. This employee will be involved with majority of things happening in the office/Township.

Duties Produce letters, memoranda, narrative and statistical reports and other forms. Attend Board of Supervisors and Planning Commission regularly scheduled monthly meetings. Prepares the meeting agendas and packets with back-up material for the Board of Supervisors and Planning Commission monthly meetings as well as any other of Board or commission meetings as necessary. Prepares meeting minutes of the Board of Supervisors and Planning Commission monthly meetings. Answers inquiries at office counter regarding Township business. Maintains the final record of meeting minutes for the Board of Supervisors and Planning Commission. Maintains the records for approved Ordinances and Resolutions. Maintains file of critical dates in departmental operations; notifies staff of approaching deadlines and required actions and/or reports. May assist in processing Zoning Hearing Board, Conditional Use Hearing, and Subdivision and Land Development Applications. Prepares complex administrative and/or clerical records and reports from a variety of material involving knowledge of departmental functions, procedures and practices. Will perform the duties as outlined by the Second Class Township code. Responsible for ordering office supplies for the Township. Assist the Public Works Department with Bid Preparations, advertisements, preparation of letters, memoranda, reports and record keeping. Responsible for placing meeting advertisements in local papers. Recycling Grant coordinator

Produces the quarterly Township Newsletter. Troubleshoot minor office equipment malfunctions and call for appropriate service, if necessary. Updates the Township’s website, Facebook page and other social media, as needed. Manages the Townships electronic sign. Performs other duties as required by the Township Manager. Requirements Minimum 2 years of experience as a municipal secretary is preferred. Extensive knowledge of Business English, spelling, punctuation, and arithmetic. Ability to perform multiple tasks. Ability to type and professionally interact with the public. Ability to work independently on difficult and complex administrative and/or clerical tasks. Ability to maintain complex administrative and/or clerical records and to prepare accurate reports. High School or GED program graduate with some business school training. Microsoft Office software (Word, Excel, etc) or equivalent skills Notary Public

Job Type: Full-time

Pay: $49,000.00 – $56,000.00 per year
